An answering-service evaluation checklist for your first sales call
An answering service evaluation checklist should leave you with written evidence, clear exclusions and named owners for unresolved questions. Before choosing a provider, describe the calls you need handled, ask what the proposed setup can actually do, and separate demonstrated capabilities from promises. Use the question sheet below during a first sales conversation, then resolve essential gaps before activation.

Describe the calls you want the service to handle
Prepare a short description of your business, service area, opening hours and the route you want covered. Is this your main line, lunch-break overflow or an after-hours route? Include busy periods and the person who currently follows up. A vendor cannot assess an unspecified requirement such as “handle everything.”
Choose a routine request, an appointment enquiry and a situation requiring your staff. For each, write the desired outcome and what the receptionist must not promise. For example, collecting details for an estimate is different from giving a firm price or scheduling the work.
If you are exploring an AI receptionist for small business, use this scope as your briefing note. Keep real customer details out of sales demonstrations; fictional examples are enough to explain the workflow.
Use a question sheet with room for missing answers
Copy this original worksheet into your notes. Complete it for the exact package and configuration discussed, with the vendor name and meeting date. Record a document, dated reply or observed demonstration as evidence. “Available” without conditions is an answer to clarify, not a completed requirement.
| Ask the vendor | Evidence to retain | Excluded or conditional | Open item and owner |
|---|---|---|---|
| Which calls and coverage periods are in scope? | [Written route and hours] | [Routes or periods excluded] | [Missing detail, owner, due date] |
| Which caller requests can this setup complete? | [Action list and demonstration] | [Actions that only create requests] | [Unproven action and next check] |
| Which calendar and appointment rules are supported? | [Exact connection and saved result] | [Unsupported tools or appointment types] | [Compatibility owner and follow-up] |
| What happens if a transfer or booking fails? | [Fallback wording and destination] | [Unavailable staff or services] | [Who resolves the exception?] |
| What usage, setup and changes does the quote cover? | [Dated quote and counting rules] | [Extra work, limits and charges] | [Unanswered cost and quote owner] |
| Who approves answers and handles support requests? | [Approval process and contact route] | [Unsupported changes or support periods] | [Business owner and next review] |
Leave an evidence cell blank until something supports it. A blank is useful: it tells you what remains unknown. Keep an exclusion even when the vendor has a workaround, and describe the extra staff work that workaround creates.
Ask for one complete action and its failure path
Choose a requirement that matters to your business and ask the vendor to show its beginning, result and exception. For a booking, ask where the appointment is saved and what the caller hears when saving fails. For a transfer, ask what happens when the intended person does not answer.
Our current homepage says Google Calendar booking depends on booking being enabled and the calendar being connected; confirmation follows a successful save. That makes the actual connection and result important evidence. A sample conversation alone does not verify your production configuration.
Keep this first-call sheet focused on questions and follow-up evidence. When comparing shortlisted providers, use the separate AI receptionist vs answering service guide to run equivalent scenarios across them.
Turn a headline price into a written scope
Ask whether billing uses calls, minutes or another unit, how usage is counted, and what happens at the allowance. Clarify currency, tax, setup work, included revisions, change requests, renewal and cancellation. Do not infer an excess-use rate from the subscription price.
Bring a workload range using the AI receptionist minutes estimate worksheet. Mark assumptions and missing durations so the vendor can distinguish measured records from planning estimates.
As checked October 22, 2026, our current monthly plans list US$99 for 100 minutes, US$249 for 450, and US$497 for 1,000, before applicable tax. Standard scope covers one business, location, receptionist and supported calendar; messaging is excluded. Usage limits and additional charges are agreed before activation. These published terms still need to be matched to your requirements.
Separate technical support from your own follow-up
Ask who receives an exception, how it reaches them and which staff member owns the customer response. A vendor support contact may help fix configuration; that does not make the vendor responsible for pricing your work or returning a sales enquiry.
Request the support route and availability in writing. Ask how to report an incorrect answer, update an approved policy and pause or change routing if the setup becomes unsuitable. Establish who approves each change and how you will check the result.
Our voice-agent service description distinguishes transfers from emergency dispatch and notes that someone must be available to answer. Record the actual staffing dependency instead of treating a transfer feature as guaranteed human availability.
Finish with a decision and a short open-items list
Use three outcomes for each essential requirement: supported with evidence, excluded, or unresolved. Do not average away a missing essential capability because several easier questions were answered. Decide whether the gap needs another demonstration, a revised scope or a different provider.
You can try the live AI receptionist demo with a fictional, nonsensitive call. The setup opens first; press Start when ready. Then request a personal demo to discuss your completed question sheet and confirm which requirements the proposed service can meet.
